Terms of Service

1. The service

Quote Follow-Up is a follow-up tool for trade shop owners. You send a quote the way you already do. You CC our forwarding address, connect Gmail, or connect QuickBooks or Xero. We extract the customer, job, and amount. You confirm. We draft follow-up emails on the cadence you set. Nothing goes to a customer until you tap approve, unless you turn on auto-send in Settings. Quote confirm is always required. The board shows revenue at risk on open quotes.

When a job is won you can also generate an accept link so your customer can approve online and pay any deposit through your own payment link, and invoice reminders can chase unpaid bills on their own schedule.

We are not a CRM, dispatcher, invoicing tool, or law firm. We do not collect payment from your customers for themselves: deposit and invoice payment links pay into your own Stripe (or your own payment page) — money never passes through us.

2. Your account

You must be 18 or older and able to bind the shop you name at signup. One login per shop. You keep your password secret. If you sign in with Google, Google's terms also apply to that sign-in.

You give us a company name, email, phone, region (US/Canada or UK/EU), and the language you want the app and your follow-ups written in (English, German, French, or Spanish). Today, follow-ups send by email. Outlook mailbox ingest, SMS, WhatsApp, and Stripe quote ingest exist in the product but are marked Coming soon — they stay switched off until we turn them on for your shop.

3. Confirm and approve

Every quote stays New until you confirm name and amount. Follow-ups stay unsent until you approve the draft, unless you enable auto-send. Auto-send never skips quote confirm. If extraction is wrong, you edit it before confirm. If a draft is wrong, you edit or skip it.

Marking a quote won or lost stops unsent steps. After the last touch, an unanswered quote can move to cold.

4. Your customers

Quotes contain other people's names, emails, phones, job notes, and prices. You must only upload or forward quotes you are allowed to follow up on. For UK/EU email you attest a lawful basis at confirm. When we enable SMS, US/Canada owners will attest TCPA permission before a text; when we enable WhatsApp, owners will attest the customer agreed to be contacted there. If a customer replies STOP or opts out, stop following up with them on that channel.

You are the business contacting the customer. Follow-ups send under your shop name. Customer replies go to your forwarding address so we can draft a response. You are responsible for the content you approve (or auto-send) and for complaints, opt-outs, or claims from people you quoted.

5. Email and ingest

We issue a unique address such as quotes-your-shop@inbound.getquotefollowup.com. Mail you CC there, including PDF attachments, is parsed so we can create a quote. Customer replies to follow-ups use that same address as Reply-To so we can draft a reply for you. Duplicate message IDs and accounting document IDs are ignored.

If you connect Gmail, we read recent sent mail to find quotes you did not CC. Disconnect in Settings to stop new pulls. (Outlook ingest is Coming soon.) If you connect QuickBooks or Xero, we store encrypted access tokens and pull sent estimates, quotes, or authorised invoices so they appear on the board. Disconnecting stops new pulls.

Outbound follow-ups use our email provider, from followups@send.getquotefollowup.com, with your shop as the from-name. When SMS and WhatsApp launch, texts send through our messaging providers from a number assigned to your shop, and WhatsApp only through Meta-approved templates on a connected business line. We may log delivery failures so you can see a failed send in the inbox.

Missed-call text-back — one automated text to a caller who got no answer on your tracked number, with a per-number cooldown and opt-out honored — is built but marked Coming soon; it stays off until we enable it.

6. Drafts from a model

Extract and draft run through an AI provider (NVIDIA or Anthropic). We send the quote text and the fields needed to write a short follow-up or a reply to a customer. Output can be wrong. That is why confirm is required, and why approve is required unless you turn on auto-send. We do not use your quotes to train our own models.

7. Trial, paid plans, and sending pause

New shops get a 14-day trial with no card. After that, sending pauses until you subscribe. Paid plans are billed in USD, EUR, or GBP through Flutterwave: monthly, or discounted 3, 6, or 12 month periods. Prices are shown on the billing page before you pay.

We only auto-renew if you tick the consent box at checkout. You can turn auto-renew off on the billing page. Failed payment marks the plan past due and pauses new sends. Viewing the board still works. Refunds, if any, are handled case by case — email us.

8. Acceptable use

Do not use Quote Follow-Up to:

  • spam people you did not quote, or send follow-ups you did not approve
  • text or WhatsApp anyone who has not consented to that channel, or keep messaging after an opt-out
  • forward other shops' mail or connect accounting you do not control
  • probe, scrape, or overload the service
  • store or send unlawful, deceptive, or abusive content

We can suspend a shop that breaks this, including during a trial.

9. Availability

We aim to keep ingest, the board, and send working. Jobs sit in a queue. Email providers, QuickBooks, Xero, Flutterwave, and the model can fail. We retry some failures; user errors (bad address, missing consent) surface on the quote or inbox instead of silent retry.

10. Liability

The service is provided as-is. We are not liable for lost jobs, missed follow-ups, model mistakes, or downtime, except where the law says we cannot exclude that. If we are liable, the cap is the amount you paid us in the 12 months before the claim. This does not take away rights you have as a consumer in the UK or EEA that cannot be waived.

11. Ending the account

You can stop using the service at any time. Email hello@getquotefollowup.com to close the shop and delete the account. We stop new sends when the plan is canceled or past due. We may delete inactive trial data.

12. Changes

If we change these terms in a material way, we will post the new date on this page. Keep using the service after that date as agreement, unless the law requires a different notice.
